Account and Data Deletion

1. Overview
You can ask us to delete your IBEXMONT account and the personal data associated with it. This page explains how to do that, what we will delete, what we are required to keep, and how long the process takes.
2. How to Request Deletion
Send an email to it@ibexmont.com with:
- Subject line: Account Deletion Request
- Body: the email address registered to your account, your alias or referral-partner code (if you have one), and a brief confirmation that you want your account deleted.
You do not need to give a reason. If you have an account, the request must come from the email address registered to that account. If it comes from a different address, we will email the registered address to confirm before acting.
2.1 If You Do Not Have an Account
If you appeared in the Service as a lead (for example, you were referred by an agent but never registered) and you want your data removed, you can still email it@ibexmont.com. Use the same subject line, describe how you appeared in the Service, and include any reference number or context you have. We will find the matching record and delete it according to the rules below.
3. How We Verify the Request
For security and to prevent malicious deletion, we will:
- Send a confirmation email to the registered address with a verification link or code.
- Wait for you to reply or confirm.
- Once confirmed, begin the deletion process.
If we cannot verify the request (for example, the email bounces), we will not proceed and we will write back explaining what we need from you.
4. What We Delete
After a verified request, we delete the following from active production systems:
- Your account that lets you log in.
- Your referral-partner or agent profile.
- Personal contact details on leads attributable solely to you (name, phone, email, WhatsApp, notes), where the lead has not converted into a deal.
- Bank account details and tax identifiers stored against your profile.
- Identity document images (ID and passport scans) and the extracted fields.
- Any draft data you uploaded that is not tied to a closed deal or an issued invoice.
5. What We Retain, and Why
We are legally required to retain certain records even after you delete your account. We anonymize them so that they no longer identify you to other users, but the underlying record stays:
- Invoices and tax records. Serbian and Montenegrin accounting and tax law require us to retain invoices, receipts, and related records for the legally prescribed period (typically up to 10 years from issue date). These cannot be deleted on request before that period expires.
- Closed deals on which you were a counterparty. Each deal has multiple counterparties who have a legitimate interest in keeping their record complete. We replace your name and contact details on those deal records with your alias (or with "former counterparty") and keep the deal intact.
- Audit log entries. Privileged actions are recorded in an audit log used for security and compliance investigations. After deletion, we keep the log entries but strip identifying fields (name, email, phone). The user reference is preserved as an opaque ID.
- Records subject to an active legal, tax, or regulatory investigation. If a record is the subject of an inquiry by a competent authority, we will not delete it until the inquiry concludes or we are otherwise authorized to do so.

6. How Long It Takes
- We acknowledge every deletion request within two (2) business days.
- After you verify the request, we complete deletion from active production systems within thirty (30) days.
- Backup copies of the database may continue to contain your data for a limited time after deletion. These backups are not used for active processing and are overwritten on the normal backup rotation schedule (typically within a further 30 days).
7. Reversibility
Account deletion is irreversible in the sense that we cannot restore the account afterwards. If you change your mind and want to use the Service again, you will need to register a new account and complete identity verification again.
8. After Deletion
Once we have completed the request, you will receive a final confirmation email summarizing what was deleted and what was retained (with a reference to this page for the reasons). We then close the support ticket.
